docuteam context is an archive information system of the latest generation. With docuteam context, you can manage your archive records efficiently and keep your data standardized and coherent. Comprehensive configuration options allow flexible use according to your needs.
Archive tectonics
Classic archive tectonics allow you to navigate and find directory units. Directory units are created, duplicated and deleted via a context menu. Moves can be made directly in the archive tree using drag & drop.
Records and instances
In accordance with the underlying «Records in Context» standard, docuteam context recognises the concept of records (units of description) and instances (characteristics, representations) of these records.
Grid
All units of description from a certain position in the archive tree can be displayed in a table view. The table view is configurable and is suitable for efficient editing or checking. Corresponding keyboard assignments allow fast navigation and editing in the grid.
Search
Boolean operators, wildcards, regular expressions and fuzzy searches are supported. The search result can be narrowed down even more specifically with further field-related filtering if required. Export the search result directly from the search.
Authority Data
Manage your authority data and link it to each other and to the directory units.
Location management
Location management allows you to keep track of your archive material.
Filing plans, systematics, internal organisation, taxonomies
Classification units are formed by means of so-called concepts. Determine the number, structure and content of such units yourself.
Protection periods and publication rules
Define protection period categories, publication rules and their logic.
Digitized files
Import digitized material as an instance of a unit of description or as an attachment to a unit of description.
Import and export
Export any unit of description – together with its children and descendants if applicable – in various formats. The import process not only creates units of description and instances, but also creates authority data or links to it.
Flexible forms
We know that your institution is unique. That’s why there is hardly anything in docuteam context that is not configurable.
Configure as many different forms as you need. And not just for the units of description, but also for the instances (characteristics, representations), agents, locations, concepts and sites.
A wide range of settings are available for form configuration:
- Generic field types (such as text field, selection list, date, etc.)
- Field types with additional logic, such as for the signature or ‘value and unit’ combinations
- Field description
- Definition of a field as mandator
- Definition of a field as read-only
- Repeatable fields
- Default values
- Validation logic using regular expressions and validation error texts
- Masked fields
- Selection lists
- Templating mechanism for the title display
- Help texts
- Reference label
- Subdivision of the form into sections
Data modelling and consistent data storage
docuteam context implements the new international archiving standard ‘Records in Contexts’, which was developed by the EGAD – Expert Group on Archival Description of the International Council of Archives (ICA).
In accordance with the principles on which the standard is based, docuteam context stores its content in a graph in which the diverse information is woven into a dense network.
Convincing, coherent and standards-based data storage is the primary goal of docuteam context – without compromising on flexibility and configuration options.

FAQ
We are always available to answer your questions and discuss your specific concerns and needs.
Of course. Form definitions according to ISAD(G) are easy to implement.
No. There are two options available. On the one hand a completely free reference code assignment, on the other hand a reference code assignment with an inheritance logic.
Every field that can be used in a form definition has clearly defined semantics and fits into the overarching data model. This means that uncontrolled growth is not possible.
This distinction is a central element of the ‘Records in Contexts’ standard. It distinguishes between the content description of a ‘thing’ and the concrete manifestations of this ‘thing’, which makes a lot of sense, especially in the digital age. To give an example: a description of the content of a medieval document may involve two instances: the parchment document and a high-resolution digital copy of this parchment document. The latter may be migrated to a different format in the future, which would create another instance.
docuteam context is constantly being developed and new functionalities are being added all the time. The roadmap can be found here: https://docs.docuteam.ch/roadmap/
